Privacy Policy

mybusinezz is a cloud billing, GST and business management service operated by Brahminnerbrain Technologies Pvt Ltd ("we", "us", "our"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to our website, our web application and our mobile application (together, the "Service").
By creating an account or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Two kinds of data we handle
It is important to understand that the Service handles two different kinds of personal data:
- Account data — information about you, the business owner, and the team members you add. For this data, we decide how it is used and we are responsible for it.
- Business customer data — information that you enter about your own customers, suppliers and employees (for example, when you create an invoice). This data belongs to your business. You decide what to collect and why; we store and process it only to provide the Service to you, on your instructions.
2. Information we collect
2.1 Information you give us
- Account details: owner name, business name, email address, mobile number and password (stored in encrypted, hashed form).
- Business profile: business address, GSTIN, logo, profile photo, bank or UPI details you choose to print on invoices, and store/branch details.
- Team members: names, email addresses and permissions of sub-users and employees you add.
- Business records: products, stock, prices, sales, invoices, quotations, purchases, returns, payments, dues (udhar), commissions and reports.
2.2 Business customer data you enter
- Customer names, mobile numbers, addresses and GST details.
- Birthdays and anniversaries, if you enter them, to send greetings.
- Purchase history, outstanding dues and payment records.
- Sensitive information: some businesses use the Service to record eye/optical prescription details or tattoo consent forms and related images. This is health-related information. It is entered by the business, and the business is responsible for obtaining the customer's consent before recording it.
2.3 Payment information
Subscription and message-credit payments are processed by our payment gateway partner. We do not receive or store your card number, UPI PIN or net-banking credentials. We only store the transaction ID, amount, date and payment status.
2.4 Information collected automatically
- IP address, browser type, device type and operating system.
- Log data such as login times, pages visited and errors, used for security and troubleshooting.
- Session cookies and local browser storage (see Section 9).
- Records of WhatsApp messages sent through the Service: recipient number, message type, time and delivery status.
3. How we use information
- To create and manage your account, including OTP verification.
- To provide the features of the Service: invoicing, GST reports, inventory, customer management and analytics.
- To send WhatsApp messages on your instruction — invoices, quotations, payment reminders, greetings and offers.
- To process payments, activate plans and manage message credits.
- To run the referral programme and credit rewards.
- To send service emails such as verification codes, renewal reminders and important notices.
- To provide customer support.
- To keep the Service secure and prevent fraud or misuse.
- To comply with legal, tax and regulatory obligations.
- To improve the Service.
We do not sell your data or your customers' data to anyone. We do not use your business customer data for our own marketing.
4. WhatsApp messaging
WhatsApp messages are delivered through a third-party WhatsApp Business API provider. When you send a message to your customer through the Service, you confirm that you have that customer's permission to contact them. You must stop messaging any customer who asks you to. Message delivery depends on WhatsApp and the provider, and is subject to their policies.
5. Who we share information with
We share information only as needed to run the Service:
- Payment gateway — to process payments.
- WhatsApp Business API provider — to deliver the messages you send.
- Email service provider — to deliver OTPs and service emails.
- Hosting provider — to store the Service and its data securely.
- Government or law-enforcement authorities — only when required by law or a valid legal order.
We may use AI tools to help create content for our own website. We do not send your business records or your customers' data to these tools.
These providers may only use the information to perform services for us and are required to protect it.
6. Data security
- Data is transmitted over encrypted HTTPS connections.
- Passwords are stored in hashed form and are never visible to us.
- Each business's data is kept separate from other businesses.
- Access to data is limited to authorised personnel who need it to support the Service.
No system is completely secure. Please keep your password private, and inform us immediately at Info@brahminnerbrain.com if you suspect unauthorised access to your account.
7. Data retention
- We keep your data for as long as your account is active.
- If your account is closed, we delete your account data and business customer data within 90 days of closure.
- We may keep certain records longer where the law requires it — for example, payment and tax invoice records.
- Deleted data may remain in secure backups for a short period before being permanently overwritten.
We recommend that you export any reports or records you need before closing your account.
8. Your rights
Under the Digital Personal Data Protection Act, 2023 and other applicable Indian law, you have the right to:
- Access the personal data we hold about you.
- Correct or update inaccurate data.
- Request deletion of your data, subject to legal retention requirements.
- Withdraw consent — note that some features may stop working without the data they need.
- Raise a grievance with our Grievance Officer (Section 13).
- Nominate a person to exercise these rights on your behalf.
Most account details can be updated from your Settings page. For other requests, write to Info@brahminnerbrain.com.
If you are a customer of a business that uses mybusinezz, please contact that business first, as they control your data. We will assist them in responding to your request.
9. Cookies and local storage
We use essential cookies to keep you signed in and to protect forms against misuse. We also use your browser's local storage to remember preferences such as theme and layout. We do not use advertising or tracking cookies. Blocking essential cookies will prevent you from signing in.
10. Mobile app permissions
- Camera — only to scan barcodes, and only when you choose to use the scanner.
- Storage / files — to upload images and save downloaded invoices and reports.
- Notifications — to show download progress and important alerts.
You can turn these permissions off at any time in your phone's settings.
11. Children
The Service is meant for businesses and is not intended for anyone under 18 years of age. We do not knowingly collect personal data from children.
12. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page shows when it was last changed. If we make significant changes, we will notify you by email or within the Service.
